Use Manage Inventory to search, review and manage stock held within Warehouse.

From this screen you can find inventory, update stock locations and statuses, move stock between depots, manage grouped stock, add serial numbers, create returns and export inventory information.

Before you start

Make sure:

  • You are viewing the correct depot.
  • The stock you want to manage has already been received into Warehouse.
  • You understand the effect of any stock movement or status change before applying it.


1. Open Manage Inventory

Go to:

Inventory → Manage Inventory

The screen displays stock currently recorded in Warehouse.

2. Search for inventory

Select the magnifying glass in the top-left of the screen to open the inventory search filters.

Use the available filters to narrow the inventory shown on screen.

This is useful when you need to find stock belonging to a particular product, contract, location or inventory status.

Note: If you cannot find the stock you need, check the selected filters and broaden the search where required.

3. Export inventory information

The inventory currently displayed on screen can be downloaded for use outside Warehouse.

Available export formats include:

  • CSV
  • XML
  • Excel
Tip: Apply the required search filters before exporting if you only need a particular group of inventory.


4. Manage an inventory line

Right-click an available inventory line to open the actions that can be performed against that stock.

The available options include:

Action
What it does
Un-Group
Removes child items from a grouped inventory line and creates separate inventory lines for them.
Ungroup and Delete
Removes the child item from the group and deletes the existing grouped inventory line.
Extract Pieces
Takes a selected quantity from the current inventory line and creates a separate stock line.
Return Item
Creates a return for stock from a dispatched order.
Serialise
Adds a serial number to a single item. The inventory line must contain one item.
Open For Grouping
Opens the inventory line so other items can be added as child stock.
Depot Move
Moves the selected stock to another depot.
Note: The actions available can depend on the stock selected and its current condition or status.


5. Use inventory shortcuts

The right-click menu also provides shortcuts for common stock-management actions.

Shortcut
What it does
Set Item Status
Changes the current inventory status of the selected stock line.
Set Location
Moves in-stock inventory to a different warehouse location.
Add Note
Adds a note that can be viewed against the inventory item.


Move stock to another location

To update where stock is physically stored:

  1. Find the required inventory line.
  2. Right-click the stock.
  3. Select Set Location.
  4. Select the new warehouse location.
  5. Confirm the change.
Tip: Update the location in Warehouse when the physical stock is moved so the system continues to match the warehouse.

Change an inventory status

To change the status of an inventory line:

  1. Find the required stock.
  2. Right-click the inventory line.
  3. Select Set Item Status.
  4. Select the required status.
Important: Only change an inventory status when the new status accurately reflects the condition or availability of the physical stock.


Add a serial number to stock

Use Serialise when a serial number needs to be added to an individual item.

The selected inventory line must contain a quantity of 1.

  1. Find the required inventory line.
  2. Right-click the stock.
  3. Select Serialise.
  4. Enter the required serial number.
Note: If the inventory line contains more than one piece, use Extract Pieces first where appropriate to create a separate line for the individual item.

6. Run inventory reports and print labels

The inventory screen includes reporting and printing options.

Option
Purpose
On Site Stock Report
Produces a report showing stock held within the depot.
Batch Labels
Prints batch labels that can be used for scanning.
Item Report
Produces a report showing inventory items and their current statuses.


7. Open and edit an inventory line

Left-click an inventory line to open its details.

From here you can review the information held against the selected stock and edit the fields that are available for that inventory line.

Tip: Use the inventory detail window when you need to review more information than is visible in the main inventory list.

8. Delete an inventory line

If an inventory line needs to be removed, select the bin icon on the far-right of the stock line.

Warehouse will ask you to confirm the deletion and enter a reason.

Warning: Deleting inventory removes the selected inventory line from Warehouse. Check that you have selected the correct stock and enter a clear reason before confirming the deletion.

What happens next?

Any changes made in Manage Inventory will be reflected against the selected stock in Warehouse.

Depending on the action taken, this may update:

  • The location of the stock.
  • Its inventory status.
  • Its serial-number information.
  • Its grouping.
  • The depot in which it is held.
  • Notes associated with the inventory.
