Before you start
Make sure:
- The original order exists in Warehouse.
- You are working in the correct depot.
- You have confirmed which items and quantities are being returned.
Create a new return
To create a return against an existing order, go to:
Orders → Create Returns
Once the return has been created, use Orders → Manage Returns to monitor and process it.
1. Open Manage Returns
Go to Orders → Manage Returns.
The Manage Returns screen is used to find and manage returns that have
already been created in Warehouse.
The screen is split into two main areas:
- The return search and results list.
- The selected return details.

2. Find a return
Use the search options to find the return you want to manage.
| Field | Description |
|---|---|
| Depot | Controls which warehouse or depot's returns are displayed. |
| Contract | Filters the results to returns belonging to a specific contract. |
| Requested Date | Filters returns by the date the return was requested. |
| Search | Search for a return using available order or contract information. |
Select Free Text Search when you need Warehouse to search
more broadly across the return information.

3. Select the return
Select the required return from the results list.
The results can show information such as:
- Contract or customer code
- Order number
- Customer name
- Country
- Postcode
Selecting a result opens the return details on the right-hand side of the
screen.
If there are many results, use the navigation arrows to move between pages.

4. Review the return details
Before updating a return, check that the correct order and customer have
been selected.
The return details can include:
- Order number
- Contract or customer
- Reference
- Ordered date
- Requested date
- Return address
The item table shows the products included in the return.
| Field | Description |
|---|---|
| SKU | The product expected to be returned. |
| Status | Shows the current return status for the item. |
| QTY | The quantity expected back for the return line. |

5. Mark an item as returned
Only mark an item as returned once the goods have physically arrived back at
the warehouse.
Before continuing, check:
- The correct return is selected.
- The correct SKU is shown.
- The quantity received matches the expected quantity.
- The returned goods have physically arrived.
- The condition of the returned goods has been checked where required.
To confirm the return:
- Select the action button beside the required return line.
- Select Mark as Returned.
- Check that the return status has updated.

6. Cancel a return
Use Cancel Return when a return should no longer remain open.
This may be required when:
- The customer is no longer returning the item.
- The return was created by mistake.
- The wrong order or item was selected.
- The return needs to be recreated correctly.
To cancel the return:
- Find and select the required return.
- Check that it should no longer be processed.
- Select the action button beside the return line.
- Select Cancel Return.
- Check that the return is no longer active or expected.

Edit a return
Select Edit in the return details when existing return
information needs to be corrected or completed.
Only edit the return when the existing information is incorrect or
incomplete.

What happens next?
What happens next depends on the action taken.
- Mark as Returned confirms that the goods have physically
arrived back and updates the return line from expected to returned.
- Cancel Return removes the return from the active return
process.
- If the wrong order or item was selected, cancel the incorrect return and
create a new return against the correct order.
