Advanced Stock Notification (ASN/PO)

The Advanced Stock Notification (ASN/PO) page can be accessed by navigating to Tools > Advanced Stock Notification (ASN/PO).

This page allows you to notify the warehouse of incoming stock before it arrives. Creating an ASN helps the warehouse prepare for your delivery and can speed up the goods receiving process.

Creating an ASN

When creating an Advanced Stock Notification, complete the following information:

Depot

Select the warehouse where the stock will be delivered.

Reference

Enter a unique reference for the incoming delivery, such as a Purchase Order number, supplier reference, or shipment reference.


Note: A reference is required before the ASN can be submitted.


Expected Date

Select the expected arrival date for the delivery.

This allows the warehouse to plan for incoming stock and monitor expected deliveries.



Adding Products

Products can be added to the ASN in two ways.

Manual Entry

Select the Add Line to open the box.

Enter the product information.

Repeat this process until all products have been added.

Barcode Scanning

If you are using a barcode scanner, select Barcode from the drop-down box top right.

You can then scan each product barcode into the entry field top left. As each barcode is scanned, the corresponding product line will be added to the ASN, allowing you to build the notification quickly and accurately.

This is particularly useful for larger deliveries.



Submitting the ASN

Once you have entered all products and completed the required information:

  1. Check the Reference and Expected Date are correct.
  2. Review the product lines.
  3. Click Submit.

The Advanced Stock Notification will then be sent to the warehouse.



Recent ASN / PO Batches

The lower section of the page displays previously created Advanced Stock Notifications.

For each ASN you can view:

  • Date Created
  • Expected Delivery Date
  • Operator
  • Reference
  • Number of Items
  • Verification Status


Verification Status

The Verified column indicates whether the warehouse has processed the incoming delivery.

  • False – The stock has not yet been received or verified by the warehouse.
  • True – The delivery has been received and verified by the warehouse.

This provides a quick way to monitor the status of your incoming deliveries.


Tip: Creating an ASN before your stock arrives helps the warehouse prepare for the delivery, reducing receiving times and providing better visibility of expected stock for both you and the warehouse team.
