Use Locations to create and configure the shelves, bins and other storage areas used within your warehouse.

Location settings determine where stock can be stored, whether stock can be picked or placed there, how the location appears within the warehouse layout and whether additional charges apply.

Before you start

Decide:

  • Which depot the location belongs to.
  • What unique code and name will be used.
  • Where the location sits within your Row → Bay → Shelf structure.
  • Whether stock can be picked from or placed into the location.
  • Whether the location belongs to a specific contract.
Important: If you use Depot Visualisation, set locations up using a consistent structure such as Row → Bay → Shelf.

For example: Row A → Bay 1 → Shelf 1.


1. Create a new location

Open the warehouse locations screen and select the + button in the top-left.

Enter a Code and Name for the location.

Note: The location Code must be unique. It cannot use the same code as another location in Warehouse.

2. Set the general location details

Configure the main settings for the location.

Field
Description
Depot
Select the depot the location belongs to.
Active
Controls whether the location is currently active and available for use.
Contract
Optionally assign the location to a specific contract.

3. Set a parent location if required

If the location sits underneath another location in your warehouse structure, select the appropriate Parent Location.

This can be used to build a hierarchy between larger storage areas and the locations contained within them.

Note: Leave Parent Location blank if the location does not need to sit underneath another location.


4. Define the warehouse position

Use the movement settings to define where the location sits within the physical warehouse and how stock can interact with it.

Field
Description
Row
Identifies the warehouse row. This is commonly a letter such as A or B.
Bay
Identifies the bay within the selected row.
Shelf
Identifies the shelf within the bay.
Area
Optionally records the area associated with the location.
Tip: Keep Row, Bay and Shelf values consistent across the depot. This makes locations easier to find and improves the warehouse visualisation.

5. Choose how the location can be used

Configure the movement options according to the purpose of the location.

Setting

Pick
Allows the location to be used when stock is being picked.
Place
Allows stock to be placed into the location.
Replenish
Identifies the location as one that can be used to replenish other locations.
Bulk
Identifies the location as a bulk-storage location.
Note: These settings should match how the physical location is actually used in your warehouse.

6. Set container and capacity information

If required, configure the type of container associated with the location and any capacity limits.

Container
Assign a container type where different container types need to be recorded or billed differently.
Limit
Optionally set an area or capacity limit for the location.
Units
Optionally set the number of units the location can accommodate.

7. Configure location charges

If charges should apply when stock is picked from or placed into the location, configure the financial settings.

Setting
Description
Pick Charge
Enables a pick charge for the location. The charge is taken from the charge configured against the SKU.
Place Charge
Enables a place charge for the location. The charge is taken from the charge configured against the SKU.
Nominal Code
Select the appropriate financial code for the location charges where required.
Tip: Only enable location charges when they form part of the customer's agreed charging setup.

8. Add notes and lifecycle settings

Use Notes to record any additional information about the location.

The Events section contains additional settings that control how the location behaves over time.

Description
Expires
Set a date when the location should no longer remain active.
Delete on Empty
Allows the location to be removed once the stock held within it has been depleted.
Import
Indicates whether the location was created through an import.
Address
Displays the address information associated with the location.
Important: Use Delete on Empty carefully. This setting is intended for locations that should no longer remain once their stock has been depleted.

9. Finish setting up the location

Before finishing, check that:

  • The location code is correct and unique.
  • The correct depot has been selected.
  • The Row, Bay and Shelf information is correct.
  • The Pick, Place, Replenish and Bulk settings match the location's purpose.
  • Any contract, capacity or charging settings are correct.

Once complete, the location can be used within the relevant Warehouse workflows.



Manage an existing location

Existing warehouse locations can be reviewed when their configuration needs to change.

For example, you may need to update:

  • Whether the location is active.
  • The depot or contract it belongs to.
  • Its Row, Bay or Shelf information.
  • Whether stock can be picked from or placed into it.
  • Its capacity settings.
  • Its charging configuration.
Tip: Be careful when changing the structure of a location that already contains stock, as the location may already be used by other Warehouse processes.


What happens next?

Once created, the location becomes part of your warehouse structure and can be used according to the options configured against it.

Depending on the settings, the location may be available for:

  • Receiving and placing stock.
  • Picking stock.
  • Replenishment.
  • Bulk storage.
  • Warehouse visualisation.
