Use the Locations import to create warehouse storage locations in bulk from a spreadsheet.

This is useful when setting up a new depot or when a large number of shelves, bins or other storage locations need to be added to Warehouse.

Before you start

Make sure:

  • Your warehouse locations have been prepared in a spreadsheet.
  • You know which depot or contract the locations relate to.
  • Your location structure has been planned before performing the import.
Important: If you plan to use the warehouse visualisation tools, create your locations using a three-dimensional structure such as Row → Bay → Shelf.

For example: Row A → Bay 1 → Shelf 1.


1. Prepare the location file

Before uploading the file, check that each location has been entered consistently.

A structured warehouse might use values such as:

Note: Consistent location naming makes it easier to organise stock and use the warehouse layout and visualisation features.


2. Upload the location file

Open the Uploads area and select Upload.

Complete the upload information as required.

Field

Enter a description that will help you identify the upload.
Contract
Select the relevant contract if the locations are contract-specific.
File
Select the spreadsheet containing the warehouse locations.

Select the required file and then select UPLOAD.

Select YES when asked to confirm.

3. Create a Locations import

Once the file has been uploaded, return to the Uploads area.

Select New Import.

Choose Locations as the import type.

4. Select the uploaded file

Select the location file you uploaded in the previous step.

Select YES when asked to confirm the file.

Warehouse will load the spreadsheet data ready for the columns to be mapped.



5. Map the spreadsheet columns

Match each column in your spreadsheet to the corresponding Warehouse field using the dropdown options.

Check each mapping carefully before continuing.

Tip: Pay particular attention to fields that control the physical structure of the warehouse, such as row, bay and shelf information.

6. Review the import data

Review the location information displayed in the import table before performing the import.

If you notice an incorrect value, select the affected field and edit it directly.

Once the value has been corrected, select outside the field to confirm the change.

Note: You can correct individual values from the import screen without having to upload the entire file again.

7. Remove the header row

If the first row of the spreadsheet contains column headings, remove it before performing the import.

Select the × beside the header row.

This prevents the spreadsheet headings from being created as a warehouse location.

8. Perform the import

Review the location data and column mapping one final time.

When everything is correct, select PERFORM IMPORT.

Select YES when asked to confirm.

Warehouse will process the file and create the locations.

When the import has completed, select OK.

Important: Check the location structure and mapping before performing the import. Incorrect location information can affect where stock is stored and how the warehouse layout is represented.


What happens next?

Once the import has completed successfully, the new locations will be available in Warehouse.

Go to:

Warehouse Setup & Locations → Locations

Check that the imported shelves, bins or other storage locations are shown correctly.
